How Do I Pay?
Because many of our events require consultation, site information and customized equipment or services, Carnivals at Heart does not accept payments directly through our website.
Once your event details and order have been finalized, a 50% deposit is required to secure your booking. The remaining balance is due 3 days prior to your event, unless otherwise stated by Carnivals at Heart.
E-Transfer — Preferred Payment Method
Our preferred payment method is e-transfer, with no additional processing fee.

EFT — Electronic Funds Transfer
EFT payments may be available for some corporate clients.
Please allow sufficient processing time. Carnivals at Heart will provide the required banking information directly using our own banking information form when requested.
EFT arrangements must be made well in advance of the payment due date to allow sufficient time for processing.
Cheques
We do not accept cheques.
This has been a Carnivals at Heart payment policy for more than six years.
Visa & Mastercard
Visa and Mastercard are accepted and are subject to a 4% convenience/processing fee, plus applicable GST.
Please contact Carnivals at Heart for our credit-card payment authorization process.
For the protection of your financial information, please do not send credit-card information unless you are using the payment method or authorization process provided by Carnivals at Heart.

When is a deposit required?

Ready to Reserve Your Event?
Once you’ve chosen your equipment and services, a deposit is required to officially secure your booking with Carnivals at Heart.
Your event date, equipment and services are not reserved until your deposit has been received. Once payment is made, we begin setting aside the equipment, staffing and resources needed specifically for your event.
Deposits Are Non-Refundable
Please make sure you’re ready to proceed before submitting your deposit, as all deposits are non-refundable once paid.
This includes cancellations, changes of plans or reductions to the original booking.
Your remaining balance will be due according to the payment terms outlined on your quote, order or invoice.

How much does delivery cost from you VIP event company?
Delivery Policy & Fees
Due to rising fuel and operational costs, a delivery fee now applies to all orders.
We’ve worked hard to keep our rental prices steady — in fact, most have barely changed in over a decade. Instead of raising item prices, we’ve added a separate delivery fee to reflect true transportation costs.

All deliveries are based from:

Delivery charges are calculated per vehicle, based on distance and order size.

Each delivery includes one staff member for setup within the Calgary area.

If additional team members are required for setup, travel time for those staff will be added.

Flexible Delivery Options
We offer Flex Delivery and Midweek Delivery for customers with flexible timing.
This allows us to schedule your delivery when we’re already in your area — often resulting in lower delivery fees or reduced minimums.

Extra Delivery Costs
Extra Setup fees in addition to delivery charges for the following circumstances:
- Deliveries downtown
- Buildings with deliveries above ground level
- Buildings with stairs or difficult unloading access
- Elevators that do not allow our equipment easy of access- cart with equipment fitting without off loading in Elevator
- Deliveries that do not have an outside door that can be accessed by our delivery vehicles.
- Deliveries with more than one room for setup
- Sloped areas, rocky paths, or small gates or doors that are not big enough for the equipment rented.
- Delivery for residential back yard must have back gate or an extra fee would be levied.
- City parks
- Rooftops
What are your delivery hours?
From September 15 thru to May 15th our events run from 10am to 5pm for standard events (casinos and photo events excluded).
If your event is running later than 5pm, rental pickups can be scheduled later at an additional cost.
From May 16 thru Sept 14 we work extended hours. Events can run between 10 am and 8pm.
Once again, rentals can be picked up later than 8pm at an additional cost.
Hours are subject to change, especially during long weekends and holidays, so please call us for more information.
Where do you deliver?
How Far Will We Travel?
Pretty much anywhere — for the right event!
Carnivals at Heart is based in Cheadle, Alberta, and we provide event services throughout Calgary, Alberta and beyond.
We are happy to travel outside our regular service area. The biggest consideration is simply cost. The farther our crew and equipment travel, the more transportation, staffing, travel time, accommodations and logistical costs may be involved.
For larger events, corporate functions, festivals and multi-day events, travelling a greater distance can often make sense.
Have an event outside our area? Ask us! Tell us where you’re located, what you’re planning and what equipment or services you’re interested in. We’ll let you know what options are available and provide a quote that includes the applicable travel costs.

When can I expect delivery and pickup of my rental?
On most occasions we will arrange a 2 hour window before and after your event for rental items to be dropped off and picked up.
This means that if your event runs from 12 pm to 4 pm you must be on site for our delivery at 10 am and be there for our pick up until 6 pm at the latest. This window is required due to the nature of having several events all around the city.
If booking contains more than one item an additional 15 minutes per item is added to the arrival window time.
Do I have to be there for delivery and pickup?

We want your event setup to be smooth, efficient and stress-free. Having the right person available when our team arrives helps us get everything exactly where it needs to be and keeps your event running on schedule.
Please Have an On-Site Contact Ready for Us
A qualified adult contact person must be available on-site throughout your scheduled delivery and pickup windows.
When our team arrives, your contact person will:
- Show us exactly where the equipment is to be set up.
- Make sure we have appropriate access to the setup area.
- Complete any required release and liability waivers.
- Be available to answer questions during setup and pickup.
- Be reachable by cell phone throughout the scheduled delivery and pickup windows.
Please provide us with the name and cell phone number of your on-site contact before your event.
Your Equipment Is in Your Care
Once the equipment has been delivered, the client is responsible for the rental equipment until it has been picked up and loaded back into a Carnivals at Heart vehicle, unless your agreement states otherwise.

Our standard delivery and pickup windows give our crews the flexibility needed to service multiple events safely and efficiently.
If your venue or event requires a smaller or more specific delivery or pickup window, just let us know! When scheduling allows, we can arrange a reduced time window for an additional charge.

If we are unable to reach the designated contact or access the event site during the scheduled window, delivery, setup or pickup may be delayed or may not be possible. In these circumstances, the booking remains payable and refunds will not be provided.

Come visit us in Cheadle! Carnivals at Heart is pleased to offer scheduled customer pick-ups and returns for many of our rental items at our Cheadle warehouse.

Picking up your own equipment can also save you money! Discounts may be available when you are able to pick up and return qualifying rental equipment yourself.

Our Cheadle warehouse is an active event facility, so all visits, pick-ups and returns are by appointment only.
Pick-up and return times are scheduled through our office, typically one week prior to your event.

We’ll work with you to arrange a convenient pick-up and return time, typically confirmed approximately one week before your rental date.
To help us keep every customer’s order on schedule, we ask that equipment be returned at the agreed-upon date and time.
Need a little more time? Please contact us as soon as possible. When our schedule allows, we’ll be happy to discuss a later return time.
Late returns that have not been approved in advance will be subject to additional fees.

To make sure our team is ready and your order is prepared when you arrive, all warehouse pick-ups are by confirmed appointment only.
Please make sure you have received confirmation of your pick-up date and time before heading our way.

Is there a minimum rental charge for pickup?
Minimum Pick-Up Orders
Our standard minimum for customer pick-up orders is $200.
Have something smaller in mind? Please ask us! Depending on the item, date and availability, we may be able to accommodate a smaller order.
Every event is a little different, and we’re always happy to see what we can do.

What condition do the rentals need to be in when returned?
All items must be returned in the manner that they were delivered. If the equipment was made dirty during the use of the rental, they must be returned clean, or a cleaning charge will be levied. Any damages will also be the responsibility of you, the customer. Please be advised that any use of the equipment for that it was not intended is strictly prohibited.

Safety Comes First
At Carnivals at Heart, we want everyone to have a fun and safe experience. All equipment must be used responsibly and all posted, written and verbal operating instructions must be followed at all times.
The Rentee is responsible for ensuring that participants and supervisors follow all applicable safety rules while the equipment is in their care.
Failure to follow safety instructions may result in the immediate shutdown of the equipment.
General Safety Rules
1. Adult Supervision
All inflatables, games and equipment must be supervised at all times by a responsible and competent adult who understands the operating and safety rules for the equipment.
2. Safe Behaviour Only
No flips, roughhousing, pushing, wrestling, reckless behaviour or other activities that could cause injury or damage are permitted on or around the equipment.
3. No Climbing on Equipment Structures
Participants must not climb on the outside walls, netting, supports or structures of any inflatable or other equipment. Participants must never intentionally attempt to rock, move or tip equipment.
4. Remove Loose or Potentially Dangerous Items
Shoes, glasses, hats, jewelry, necklaces, toys, sharp objects and other items that could cause injury or damage must be removed before entering an inflatable or participating on equipment where these items are prohibited.
5. Keep the Equipment Area Clear
BBQs, fire pits, open flames, heaters and other potentially dangerous or flammable items must be kept a safe distance from the equipment.
Electrical cords, generators and other power equipment must be positioned and protected according to Carnivals at Heart’s setup instructions.
6. Inflatable Entrances & Exits
Inflatable entrance and exit areas must remain clear at all times. Participants must enter and exit according to the instructions provided for the specific unit.
Sitting, playing or congregating on inflatable entrance or exit steps is not permitted.
7. Participants Must Be Grouped Appropriately
Participants should be grouped according to size, age and ability when appropriate to reduce the risk of collisions and injuries.
The supervising adult or Carnivals at Heart operator may limit the number or combination of participants using equipment at one time.
8. Safety Equipment Must Be Worn
Where protective equipment is supplied, participants must wear and properly use all required safety equipment.
This applies to attractions such as jousting, bungee runs, sumo suits and other equipment requiring protective gear.
9. Minors
Minors must have the required permission of a parent or legal guardian before participating.
Where a waiver is required, it must be completed by the appropriate parent or legal guardian for participants under the applicable age.
10. Higher-Risk Interactive Attractions
Certain interactive attractions require additional operating rules, supervision, protective equipment and/or participant waivers.
All instructions provided by Carnivals at Heart for these attractions must be followed.
Weather Safety
11. Wind, Rain, Lightning & Severe Weather
Weather conditions must be monitored throughout the event.
Equipment must be shut down whenever weather conditions exceed the manufacturer’s operating limits or when directed by a Carnivals at Heart representative.
Inflatables and applicable outdoor equipment must be immediately evacuated and shut down during excessive winds, unsafe rain conditions, lightning or other severe weather.
Never continue operating equipment when Carnivals at Heart has instructed that it be shut down for safety reasons.
Participant Health & Safety
12. Know Your Limits
Participants are responsible for determining whether they can safely participate.
Participants should not use an attraction if they are pregnant or have a medical condition, injury or physical limitation that could make participation unsafe, including certain neck, back, heart or mobility conditions.
Participants must follow all posted restrictions and instructions specific to each attraction.
When in doubt, don’t participate. Please speak with the equipment operator or event supervisor before using the attraction.
Protecting Our Guests & Equipment
The Rentee is responsible for the proper supervision and reasonable care of rental equipment while it is in their possession.
Damage resulting from misuse, abuse, unauthorized movement, failure to supervise or failure to follow operating instructions may be charged to the Rentee in accordance with the rental agreement.
If something doesn’t look or feel right, stop using the equipment and contact Carnivals at Heart immediately.

What is your cancellation fee?
We Understand — Sometimes Plans Change
At Carnivals at Heart, we understand that unexpected things happen and sometimes an event needs to be cancelled or changed.
When you book with us, we begin reserving your event date, equipment, staffing and other resources specifically for your event. Because these items may no longer be available for other clients, cancellation charges apply once your booking has been confirmed.
Cancellation Policy
All deposits are non-refundable once paid.
If you need to cancel your event, the following cancellation charges apply:
- 90 days or more before your event: Your deposit remains non-refundable, but no additional cancellation amount is due.
- 61–89 days before your event: The full 50% deposit is retained and is non-refundable.
- 8–60 days before your event: 75% of the total booking amount is due.
- 1–7 days before your event: 100% of the total booking amount is due.
Any special cancellation arrangements or exceptions must be approved in writing by Carnivals at Heart.
Need to Make a Change?
Please reach out to us as soon as possible. Depending on availability and the circumstances, we may be able to discuss changing your event date or adjusting your booking rather than cancelling altogether.
We want your event to happen, and whenever reasonably possible, we’ll work with you to find an option that works for everyone.

What is your bad weather policy?
Weather Happens — Let’s Have a Backup Plan!
We love outdoor events, but we also know Alberta weather can have a mind of its own!
Our first priority is always the safety of your guests, our team and our equipment. With a little advance planning, a change in the forecast doesn’t necessarily have to spoil the fun.
When We Cannot Safely Set Up Outdoors
In cases of heavy rain, snow, high winds, lightning, severe weather or temperatures below +5°C, Carnivals at Heart may not be able to safely set up inflatables and certain other equipment outdoors.
Individual attractions may also have their own weather and operating restrictions. Carnivals at Heart always reserves the right to stop or refuse operation when conditions are considered unsafe.
Have a Backup Plan — Just in Case!
When booking an outdoor event, we strongly encourage you to have a temporary indoor location, covered area or alternate event plan available whenever possible.
If you’re not sure whether your backup location will work with the equipment you’ve booked, ask us ahead of time! We can help you determine whether there is enough space, access and power.
Watching the Forecast? Give Us a Call!
If weather may affect your event, please contact our office at 403-293-3294 at least 48 hours before your scheduled arrival time.
We’ll review the situation with you and discuss the options available for your booking.
At that time, Carnivals at Heart will provide you with a specific deadline for making your final weather-related decision.
Please do not assume an event has been cancelled or postponed until the change has been confirmed with our office.
Weather Credit & Rescheduling
When the required notice has been provided and a weather-related rescheduling credit is approved by Carnivals at Heart, your eligible rental payment may be held as a credit for up to 6 months.
This applies whether you have paid your 50% deposit or your invoice in full, subject to the terms of your booking.
Your new event date will be based on:
- Equipment availability
- Delivery availability
- Staffing availability
- Location and travel requirements
- Seasonal pricing and minimum-order requirements
- Any changes to the equipment or services requested
Weather credits have no cash value and are not refundable.
Any additional costs associated with the new event date, location, equipment, staffing or delivery will be quoted separately.
Please Don’t Wait Until Event Day
If weather is a concern, communication is the key!
If Carnivals at Heart is not contacted within the required timeframe and our equipment, vehicles and staff remain scheduled for your event, your booking will continue under our regular cancellation and payment terms.
Once our equipment has been loaded, our delivery team has left the warehouse, or our team is on route to your event, no weather-related refund or credit will be provided.
Any outstanding balance remains payable according to your booking agreement.
What If the Weather Changes During Your Event?
Weather can change quickly, especially in Alberta.
If unsafe rain, snow, wind, lightning or other severe weather develops while you have our equipment, please put safety first.
Participants must be removed from affected equipment and powered equipment must be shut down and unplugged when instructed or when conditions become unsafe.
Inflatables and other weather-sensitive equipment must be secured and handled according to the instructions provided by Carnivals at Heart.
Do not move equipment after it has been professionally set up unless specifically instructed by Carnivals at Heart.
Equipment may only be restarted once conditions have improved and it is safe to do so, following any applicable Carnivals at Heart or manufacturer operating requirements.
Entertainers, Artists & Outside Vendors
Weather credits generally do not apply to entertainers, dealers, artists or other third-party vendors, as they may have their own cancellation and payment policies.
Any weather-related changes involving a third-party provider must be agreed upon in advance by the client, Carnivals at Heart and the applicable provider, where appropriate.

We can’t control the weather — but we can plan for it together.
Have your backup location or alternate plan ready, keep an eye on the forecast and contact us early if you’re concerned.

Damage resulting from misuse, abuse, unauthorized movement, failure to supervise or failure to follow operating instructions may be charged to the Rentee in accordance with the rental agreement.
If something doesn’t look or feel right, stop using the equipment and contact Carnivals at Heart immediately.

What am I, the rentee, liable for?
As the rentee, you will be required to read and sign our release and liability waiver:
The name and/or organization (henceforth know as: Rentee) written above hereby assumes all risks of any property damage, personal injury and/or death that may occur to any persons on site during the event, including delivery and pick up time. Carnivals for Kids at Heart /1529213 Alberta Inc. (henceforth know as: Renter) will not be liable under any circumstance, including negligence, for any incidents and the Rentee agrees to releases the Renter from any such claims.
Rules to the equipment must be strictly followed as any damage to equipment, bodily injury or death that occurs on site is the sole responsibility of the Rentee. Rules are, but not limited to, the following:
1) All inflatables and equipment must be supervised at all times by competent adults that fully understand all the rules of operation.
2) No flips, rough-housing or irresponsible behaviour of any kind is allowed on or near the equipment.
3) There can be no climbing on the outside structure of any piece of equipment nor attempts to tip over inflatables from the inside.
4) No shoes, hats, glasses, toys, necklaces or any other items that could cause injury or damage are allowed in or around the inflatables and equipment.
5) There can be no BBQs, fire pits, electrical wires or other dangerous and/or flammable objects within 50 feet of the equipment.
6) The step on the inflatables are strictly for entering (head first) and exiting (feet first), no sitting on the step shall be permitted.
7) All participants must be grouped by size to prevent injury in the Inflatables or other equipment.
8) All participants must wear all protective gear provided.
9) All minors must have permission from their legal guardians to partake in the event.
10) Certain equipment (such as the bungee run, sumo suits, jousting, boxing, etc.) are particularly dangerous. Take extra caution with these units and ensure all participants have signed a liability waiver.
11) ALL UNITS MUST BE TURNED OFF IN EXCESSIVE WIND/RAIN OR AT ANY SIGN OF LIGHTENING.
12) *** ALL PARTICIPANTS MUST BE IN GOOD PHYSICAL SHAPE AND HAVE NO PRIOR HISTORY OF NECK, BACK OR OTHER RELATING BODILY INJURIES OR DISABILITIES. ALL PARTICIPANTS MUST NOT BE PREGNANT.***
13) Alberta One Call MUST be called ahead of time by the Lessee before the Lessor will spike into any grass/ground. Underground lines need to be marked before the Lessor will start to set up. Lessee needs to inquire about gas, water, electrical lines from AB One Call, and irrigation systems from the land owner. If a spike damages any underground lines the Lessee takes full responsibility for damage.
14) Lessee is responsible for keeping the equipment clean, in case of dirt or heavy rain, a cleaning fee may be charged by the Lessor. The Lessee is accountable for paying the cleaning fee within two weeks of the event date.
I (the Rentee) hereby waive, assume any risk, and take full responsibility and waive any claims of personal injury, death or damage to personal property associated with any and all services and equipment provided by Carnivals for Kids at Heart (Renter) or its subsidiaries. I understand that the activities are dangerous and involve a serious risk of injury, death and/or property damage. I have read this WAIVER AND RELEASE and fully understand its terms. I understand that I am giving up legal rights. I have signed this Agreement voluntarily and under my own free will.
For all other rental equipment, units must be returned in the same working condition as provided. Any items broken or lost is the rentees responsibility and will be charged for repairs and replacements accordingly.
